CANCELLATION POLICY
Refund of fees:
- If an enrolled candidate cancels his or her participation after 30 December 2025 the organizers will refund the participation fee minus 10% and the incurred costs.
- If an enrolled candidate cancels his or her participation after 11 January 2026, the organizers will refund 50% of the participation fee minus the incurred costs.
- No refund can be made for cancellations after 26 January 2026.
This cancellation policy will be applied also to scholarship holders. The organizers remind that it is the participants’ responsibility to obtain a visa on time and therefore no exceptions on the cancellation policy can be made in case of visa denial. Participants are responsible for covering all expenses related to their visa application. If needed, the organizers can provide a letter of support to assist with the visa process.
Refund of accommodation costs:
The cancellation of the accommodation booking might result in incurring extra charges as per the accommodation’s own cancellation policy, which will be deducted from the refund. Please note that no accommodation costs can be refunded after Friday 19 December 2025.
